User Guide - Session 14

Database management
In this session you will learn how to:

  • Configure your Backup folders
  • Do a Backup of your database
  • PACK your database files
  • Do a Restore of your database

A set of special Database Management programs are supplied as standard in Flower Genie.
The programs point to your Flower Genie data folders, and the programs know exactly what to back up.

We cant stress enough how important it is to keep backups.
We hope you dont have to go through the pain of a system crash, but if the unthinkable happens, its a lot less traumatic if you have a good backup of your precious data.

Configuring your Backup folders

  1. Click the System tab on the Flower Genie menu (top of the program selection screen)
and start the program System Paths -  FG197
  2. Screen FG197S01 appears
  3. Examine the values shown for Backup Folder No 1 and Backup Folder No 2
  4. You can use the appropriate Get a Folder button to change these settings
  5. When you install Flower Genie, the default setting for Backup Folder No 1 is a folder called Backup, a sub folder of your Flower Genie Start-up folder.
The idea is that you can do a very quick backup to this folder at any stage during a work session.
You can easily restore from this backup if you are experimenting with the system and are apprehensive about making a mistake, or accidentally delete something.
  6. You should set Backup Folder No 2 to point to a folder on an external device.
A folder on a Flash disc is perfect
Make the folder on the flash, then use the Get a Folder button to locate the folder.
  7. Click the Save Changes button if you are happy with the changes you have made.
The Escape button will allow you to exit gracefully if you decide not to make changes

Doing a Backup of your database

  1. Click the System tab on the Flower Genie menu (top of the program selection screen)
and start the program Backups -  FG201

In the default setup (as first installed) there is only source.
Advanced users who use the Switch feature will find two Sources in the pop-up
  4. The Backup To pop-up offers two options, Backup Folder No 1 and Backup Folder No 2
The default setting is Backup Folder No 1
Adjust the pop-up setting as necessary
NOTE: You configure the Backup Folders using the program System Paths - FG197, found under the System tab on the Flower Genie menu
  5. Click the Do Test button
  6. If files are intact, screen FG201S02 appears
  7. Click the Do Backup button

PACK your database files

When you delete records in Flower Genie (e.g. a Plant) the record is actually still present in the database, hidden from the user.
Deleted records will take up disc space.
The PACK program removes deleted records, permanently, and will free up disc space
Its a good idea to do a PACK regularly as part of your “housekeeping”.
Always do a Backup of your database before doing a PACK, as files are opened exclusively and can be damaged if your computer crashes or if you turn your computer off while the PACK is in progress
A backup to Backup Folder No 1 in the configuration described above (FG197) is recommended.

  1. Click the System tab on the Flower Genie menu (top of the program selection screen)
and start the program Pack files -  FG202
  2. Screen FG202S01 appears
  3. For the normal installation, the Select a Folder pop-up will say Core Data Files, and there is only one option in the pop-up.
  4. The folder path and name is indicated in the Pack this Folder field

Advanced users ONLY, who have a SWITCH data source in operation
The setting will default to Switch Data Files
You have the option to change this setting to Core data files, using the pop-up
If necessary use the Select a Folder pop-up to change the default setting

  5. Click the Do Test button
  6. If files are intact, screen FG202S02 appears
  7. Click the Do Pack button
